Fees for our overnight conferences include bed and breakfast accommodation in a university Hall of Residence, and meals as specified. Additional options may only be booked with a main course. Full payment must be made with booking, unless on an approved staged payment scheme. Schools may be invoiced on supply of a purchase order, but full payment must be made before the start of the conference. Credit card payments will attract a small surcharge (as stated in booking forms and on website) but debit card payments and cheques will be processed without charge. Cheques should be made payable to Medlink. All fees include a non-refundable deposit of 15%. All brochure prices are inclusive of VAT @ 20%.
If accommodation is booked, breakfast will be included, and meals only as specified. Facilities will be available for purchase of other meals, at reasonable prices: dinner will usually cost around £6.50 and lunch around £3.50. Delegates are responsible for their own travel to the conference. Parking charges apply on campus Monday-Friday, 9.30am-4pm for stays of longer than 30 minutes. Additional B&B accommodation may be booked on campus for nights before or after the conference, subject to availability.
The conference is open to students who will be 16 by the start of the conference. Student delegates over 21 years may be accepted, but will be accommodated separately: please inform us when booking. Bookings will be accepted as long as places are available: should all places be filled, fees will be returned in full, but a reserve list will be held in anticipation of late cancellations.
Booking confirmation and conference details
Initial confirmation of booking will be to the booking organiser. Thereafter, all conference information will be emailed to individual delegates. Every effort will be made to ensure delegates have sufficient information to organise their travel plans in good time. Accommodation details may not be emailed until the week preceding the conference.
Delegates will only be accepted on the course if they agree to our Code of Conduct. This may be found on our website, and will be emailed to everyone with their conference details. Their signed acceptance will be collected on arrival at registration. Delegates are responsible for their own property at all times, and should arrange their own insurance for items of value. They should have a means of carrying valuables and money on their person, particularly for practical sessions, where bags may not be permitted.
Cancellations must be in writing (email accepted). Cancellations received up to 21 days before the first day of the event will have the 15% non-refundable deposit deducted from any refund; for those received between 15-21 days before the event 30% of the full fee will be deducted; no refunds will be made for cancellations received within 15 days of the start of the event. Kindly note, refunds may take up to 21 days to process. Travel to the venue is not included and refunds cannot be made for failure to attend due to severe weather conditions or disruption to public transport, and we recommend making alternative plans if these are likely, or taking insurance to cover costs. We are required under Consumer Protection Distance Selling Regulations to inform you that you have 7 days in which you may unconditionally cancel this contract in writing (or email), for any reason, to receive a full refund; but any accommodation element of the booking is exempted from this 7 day cooling-off period.
